We are looking for a part time Administrative Associate to support projects and other administrative tasks relating to the Global Medical Strategy and Phase IV team in our International HQ at London Paddington.

Your role will be accountable for:

  • Preparation and processing of departmental paperwork, including routine correspondence, presentations, expense reports and purchase orders
  • Coordination of inter-departmental meetings, complex travel plans and conference enrollment/registration
  • Preparing meetings agendas
  • Maintaining appointment schedules
  • Prioritizing and handling schedules to include conferences, speaking engagements, travel and daily meetings, with supervision
  • Creating and maintaining document filing systems, hard and soft copy
  • Receiving and reviewing department mail and determining which require manager’s attention
  • Coordinating department offsite meetings and events when required
  • Assisting with coordinating special department projects/initiatives
  • Performing other ad-hoc duties as assigned

Qualification:

Education

B.A. (or equivalent degree) and/or relevant work experience

  • Proven ability to establish own priorities
  • Effectively handles multiple tasks
  • Adapts to changing priorities and needs quickly and effectively
  • Demonstrates moderately advanced computer skills in order to fulfil responsibilities
  • Ability to tackle routine problems within a widely defined set of guidelines
  • Possesses strong interpersonal and problem solving skills, highly motivated behaviour and good documentation habits
  • Sound attention to detail
  • Ability to understand and follow established procedures
