Job Summary

About the role

Reporting to medneo’s Head of UK the Commercial Assistant will support the management and operations team in all related business matters. The person we are looking for will be highly organised with a great eye for detail. Tasks will include: ensuring medneo UK’s administrative functions are efficient and follow medneo’s corporate policies; taking ownership of medneo’s UK’s financial processes e.g. billing patients and customers, collating monthly data, etc; liaising with medneo’s Berlin office HR department concerning staff management issue and finally the organisation of a wide range of projects and events e.g. marketing events, corporate meetings, clinical meeting, etc.

Prior experience in handling competing priorities is a key requirement. The post holder will be expected to have an integral role in the success of medneo UK. We are looking for someone who is conscientious, anticipates challenges and questions the status quo. One of the most important tasks is to be the link between medneo´s UK and medneo’s Berlin head office. Thus, occasional travel to Berlin may also be required to develop and maintain the UK/Germany relationship.

Duties & Responsibilities

  • Leadership of the administrative function in the UK e.g. billing, liaison with suppliers and customers and HR Admin tasks
  • Maintenance of continuous improvement of administrative processes, delivering solutions that support business objectives as well as streamlining the business
  • Monitoring of queries to ensure timely resolution as well as partner with our HRBPs and Office Management from our German office to deliver an excellent employee and customer experience
  • Support of the UK management team with the collation and reporting of KPIs and operating metrics
  • Summarising and calculating accurate HR data, operating figures as well as management information
  • Creation and maintenance of strong relationships with key stakeholders (such as People Managers, Legal and Finance internally and payroll provider and competent authorities externally)
  • Answering the telephone, greeting visitors, handling deliveries, and occasionally making tea/coffee for visitors, as well as other general office duties
  • Guidance of international employees through the necessary steps of relocation and visa procedures
  • Preparation of labor contracts, contractual changes, additional agreements as well as reference letters and taking care of employee files
  • Strive to become a trusted adviser in terms of the British Employment and Social Security Law

  • Project management experience are an advantage
  • Competent user of MS Office; good IT literacy
  • Excellent English language skills (spoken and written)
  • Willingness to travel to Berlin occasionally
